Terms of Service
WorkspaceRadar · Last updated: {{EFFECTIVE_DATE}}
These terms are an agreement between Xinru Tang, Möwenweg 5, 91056 Erlangen, Germany ("we"), and the organisation whose Google Workspace domain is connected to WorkspaceRadar ("you"). The person who connects the domain confirms they are authorised to accept these terms for that organisation. The service is for businesses, not consumers.
1. What the service does
WorkspaceRadar reads your Google Workspace directory, usage reports and licence assignments. From them, it identifies licences that appear to be unused and estimates what they cost. It reads and reports only. It never removes, changes or reassigns a licence, a user or any setting in your domain. Any change you make as a result is yours to make in your Google Admin console.
2. Figures are estimates, not advice
- Prices. Google does not tell apps what you pay. Unless you enter your own price, the cost of a licence is estimated from Google's published list price in the billing currency you set. Where we hold no list price in that currency, the licence is shown as unpriced, never converted from another currency. Each figure in the app is labelled as measured, a list-price estimate, or declared by you. Your invoice may differ, for example because of discounts, reseller pricing, or a payment plan other than the one the list price is published for.
- Whether you can save it. On an annual or commitment plan, Google usually does not let you reduce licences before renewal, so a saving may only be realisable then. The app shows savings realisable now and at renewal separately. It depends on the plan type you tell it.
- Activity. Activity is judged from Google's usage reports. These arrive with a delay of several days and cover a limited window. A person can be active in ways the reports do not show.
You are responsible for deciding whether to remove any licence. Check before you do. Removing a licence can affect a person's access to their data.
3. Your responsibilities
You agree to:
- connect only a domain you are authorised to administer;
- have a lawful basis to let us process your users' data as described in our Privacy Policy and Data Processing Agreement, which form part of these terms;
- inform your employees and other users about the analysis, as Art. 13 and 14 GDPR require of you as controller;
- obtain any consent or agreement your employees' representatives must give before you use the service, for example a works council's co-determination under §87(1) No. 6 of the German Works Constitution Act (BetrVG), since the service analyses how people use their accounts;
- not attempt to access another customer's data, disrupt the service, or reverse-engineer it beyond what the law allows.
4. Fees
{{FEES — choose one and delete the others: (a) The service is currently free. We will give at least {{NOTICE_DAYS}} days' notice in the app before introducing charges, and nothing will be charged without your explicit consent. (b) Paid plans are described at {{PRICING_URL}}. Fees are billed {{BILLING_PERIOD}} in advance through {{BILLING_CHANNEL, e.g. Google Workspace Marketplace}}, exclusive of VAT. {{REFUND_AND_CANCELLATION_TERMS}}}}
5. Your data
Your data remains yours. We use it only to provide the service, as described in the Privacy Policy and the Data Processing Agreement. You can delete all of it at any time in Settings → Disconnect this domain.
6. Availability and changes
We aim to keep the service available, but we do not guarantee uninterrupted operation. It also depends on Google's APIs, which we do not control. We may change or discontinue features. {{IF_PAID: If we discontinue the service, we will give {{NOTICE_DAYS}} days' notice and refund any prepaid fees for the unused period.}}
7. Liability
{{LIABILITY_CLAUSE — this is jurisdiction-specific and must be written for {{GOVERNING_LAW}}. Under German law, for example, standard terms cannot exclude liability for intent, gross negligence or injury to life, body or health, and a blanket cap is often unenforceable. Do not publish a generic US-style disclaimer here.}}
8. Ending the agreement
You can stop at any time by disconnecting your domain, which deletes your data. We may suspend or end access if you breach these terms or misuse the service. {{IF_PAID: Termination terms for paid plans.}}
9. Changes to these terms
We will show material changes in the app at least {{NOTICE_DAYS}} days before they take effect. If you continue to use the service after that, you accept them.
10. Governing law
These terms are governed by the law of {{GOVERNING_LAW}}. The courts of {{JURISDICTION_CITY}} have jurisdiction, as far as the law allows.
