Common questions

Why doesn't the app just use "last sign-in" like the Admin console? Signing in isn't the same as using a licence. A person can sign in once a month and do nothing else. The app reads Google's usage reports (Gmail, Drive and Chat activity) and compares them with the licence each person holds and what it costs. The Admin console shows neither of those side by side, and it can't sort or filter stale accounts that way.

Why does Google say the app can "manage" licences? Google offers only one licensing permission, and it's described as read and write. The app only reads: it never changes a licence, a user or any setting. Removing a licence is always something you do yourself, in your Admin console.

The price is wrong. Google doesn't tell apps what you pay, so the app uses Google's published list price and labels it as an estimate. Enter your real price in Settings, and every figure is recalculated with it and marked as declared by you. Some licences (for example Enterprise, Frontline and AI add-ons) have no published price, and they show "no price" until you enter one.

My invoice isn't in euros. Set your billing currency in Settings (euros, US dollars or pounds). Every figure is recalculated in it. The app never converts between currencies, so a licence with no published price in your currency shows "no price" until you enter your rate. Prices you entered in the old currency are removed when you switch.

"Monthly licence spend" shows a dash. No licence in your domain could be priced yet, and the app won't show 0.00 for a cost it doesn't know. Enter your prices in Settings. When only some licences are priced, the total says how many seats it leaves out.

It says I could save money "now", but I'm on an annual plan. Tell the app your plan type and renewal date in Settings. On an annual or commitment plan, Google usually won't let you reduce licences before renewal, so the app then shows the saving as realisable at renewal.

Someone marked inactive is actually working. Google's usage reports arrive several days late, and they only cover Gmail, Drive, Chat and sign-ins. Someone who works mainly in Calendar, Meet or a third-party app can look inactive. Open the person's row to see exactly which activity was checked and when.

Some people show "unknown". The app couldn't get a usage report for them, so it doesn't guess. A later scan may fill them in, for example once Google's reports have caught up.

How do I stop the weekly scan? Turn it off on the History screen. After that, the app contacts Google only when you start a scan.

How do I delete everything? Go to Settings → Disconnect this domain. The app withdraws its access at Google and deletes all of your domain's data at once. If Google doesn't confirm the withdrawal, remove the app in Admin console → Security → Access and data control → API controls → Manage third-party app access.
